In order to comply with our money laundering requirements and to be able to handle your transaction effectively we will collect various categories of personal data about you. The exact information we will request from you will depend on the work that we have undertaken on your behalf. Such personal information that is required could include but is not limited to:

•  Contact Details i.e. postal address, email address and telephone number
•  National Insurance Number
•  Passport Details/Driving Licence Number
•  Bank Account Details / Copies of your Bank Statements (if the transaction requires)
•  Information regarding your family or personal circumstances
•  Other information that is reasonably required to enable us to carry out your instructions
 
When processing personal data, we aim to guarantees that your personal data:

•  is collected for specified, explicit and legitimate purposes
•  is adequate, relevant, accurate and limited to what is necessary in relation to the purposes for which we are instructed

Your personal information may be collected from a plethora of sources including; information that you provide to us, information from third parties such as a Financial Institution or Estate Agent and information from publically accessible sources.
 
We understand that requests for personal information can be intrusive; however, it is necessary, as we are legally required to verify your identity before beginning any works. The provision of the information will to enable us to; represent you, carry out your instructions, communicate with you, establish proof of funds, comply with our legal and professional responsibilities,
 
On occasion, we will be required to disclose your personal data to a third party outside of Leadbeater & Kay. This would include professional bodies such as; HM Revenue & Customs, Office of the Public Guardian, HM Land Registry or a financial institution such as a lender in a conveyancing transaction. It may also be required to disclose such information to other solicitors involved in your transaction or our professional indemnity insurance provider. We never sell your personal information to third parties
 
All of our data is stored on site either in manual files or digitally on computers. We retain all files for a minimum of six years, unless the particular case type requires that the same be kept for longer.
 
All requests for quotes are stored for a maximum of six months before destruction.
 
You have the right to request copies of any data that we hold in relation to you. We ask that any incorrect data be notified to the relevant fee earner. You can request that any data we hold about you be transferred to another organisation or that we erase your personal data from our records.
 
Please note that any such requests are subject to our obligations to regulatory bodies, our insurers or any third parties you have requested be involved in any matter we have dealt with for you.

If the issue is not resolved to your satisfaction, or you would prefer not to speak to your fee earner, then please do not hesitate to contact Miss Debbie Leadbeater who is the Managing Director in this firm.

Making a complaint will not affect how we handle your case.

The Solicitors Regulation Authority can help you if you are concerned about our behaviour. This could be for things like dishonesty or treating you unfairly because of your age, a disability or other characteristic.

The Legal Ombudsman can help you if you are still not satisfied after speaking to the Solicitors Regulation Authority.

The Legal Ombudsman will independently review your complaint.
